How to choose clinic management software: a checklist

Choosing clinic software is a decision you’ll live with every working day. The right system disappears into the rhythm of the clinic; the wrong one adds clicks to every consultation and quietly pushes staff back to paper.

This checklist is organised around a patient’s journey — before, during and after the visit — followed by the questions that matter most for AI, security and switching over.

Start with your problems, not a feature list

Before looking at any product, write down the three things that frustrate your team most. “The waiting room is chaotic.” “We don’t know who missed their follow-up.” “Families keep calling to ask what the doctor said.” Judge every system against those, not against the longest feature list.

At the front desk

• Can you handle booked appointments and walk-ins in one live queue?
• Do patients get their token or appointment confirmation automatically?
• Is billing part of the same flow, or a separate system to reconcile at the end of the day?
• How many clicks does it take to register a new patient?

In the consultation room

• How fast can a doctor write a note and prescription — especially for repeat patients?
• Are there templates for common conditions that doctors can adapt?
• If it offers AI-drafted notes, does every draft need the doctor’s approval before it goes anywhere?
• Can the doctor see history and previous results without leaving the consultation?

After the visit

This is where most software stops — and where most care is lost.

• Are follow-ups, repeat tests and dose reviews tracked with due dates?
• Does the system send reminders on channels patients actually use, such as WhatsApp? (See our guide to WhatsApp reminders.)
• Is there a clear list of patients who are slipping?
• Do patients get their plan in writing, in plain language?
• Can family members follow the plan, with the patient’s permission?
• Is there a patient app — ideally with your clinic’s own name on it?

If it uses AI

AI can save hours, but in healthcare the questions are different:

• Where do its answers come from? Your own clinical notes and protocols — or the open internet?
• Can doctors control and correct it? Can you teach it your protocols and test its answers before patients see them?
• What happens when it doesn’t know? It should say so, and tell you — not guess.
• Are red-flag symptoms escalated to a clinician?
• Is personal information removed before any data is sent to an AI model?

Security and compliance

• Are records and documents encrypted at rest?
• Is every access checked by role, and is there an audit trail of who opened which record?
• Which regulations is it designed for in your region — for example GDPR, HIPAA or India’s DPDPA?
• Can patients export their record, and can you export all your data if you leave?

Practicalities

• Does it run in a browser, or need installs on every computer?
• What does onboarding look like — who moves your existing appointments and patient list?
• What support do you get in the first month, and afterwards?
• Is pricing clear, and is there any charge to patients?

Run a real trial
